Version 2026.10
Effective date 2026-10-10
This Privacy Policy explains what personal information Feedwire collects, why, who receives it, how long we retain it, and what choices you have. Feedwire is a managed IT and security provider based in Los Angeles, California. We serve organizations, not consumers.
The policy is organized by whom it covers:
- Everyone: what applies in every case
- Website visitors
- Calls and meetings
- Prospects, client contacts, and newsletter readers
- Client staff whose data we process for our clients
- Job applicants
- Text messages
Sections 8 to 16 cover sharing, security, retention, your choices, California notices, children, the EU and UK, changes to this policy, and how to contact us.
Our services to clients are governed by our Terms and Conditions at https://feedwire.com/terms, our Operating Model at feedwire.com/operatingmodel, and our Data Processing Agreement at https://feedwire.com/dpa. Our Terms call a client the "Customer". This policy says "client".
Personal information means information that identifies you, relates to you, or could reasonably be linked to you.
1. What applies in every case
- We do not sell personal information.
- We do not share personal information for cross-context behavioral advertising. We place no advertising pixels and no social media plugins on our website. Content we embed from other services, such as YouTube videos, may set its own cookies, as section 2 describes.
- We do not disclose personal information to third parties for their own direct marketing.
- We do not collect precise location from anyone.
- We do not use AI to screen job applicants.
- When we process data for a client, we act only on that client's instructions, as our Data Processing Agreement describes.
2. Website visitors
What we collect. Our website, feedwire.com, is hosted on Squarespace. When you visit, Squarespace and Cloudflare record the pages you view, the site that referred you, your browser and device type, and your IP address. We use Squarespace's built-in analytics and Cloudflare's analytics to count visits and see which pages people read. We use no other analytics.
Forms. When you fill in a form on our site, we collect what you enter, such as your name, email address, company, phone number, and message. Our help form at feedwire.com/help uses JotForm and opens a support ticket.
Cookies. Squarespace places a small number of cookies. Some are required for the site to work. Others count visits for our analytics. You can block or delete cookies in your browser settings. Some parts of the site may not work properly without the required cookies.
Do Not Track and Global Privacy Control. Our site does not change its behavior when your browser sends a Do Not Track or Global Privacy Control signal. We do not track visitors across other websites, and we do not sell or share personal information. Embedded content from other services follows those services' own handling of these signals.
Tracking across other sites. We do not allow third parties to collect personal information through our site to follow your activity over time and across other websites, except as embedded content from other services may do, as described below. Squarespace and Cloudflare process site data on our behalf as our service providers.
Embedded content. Some pages include content from other services, such as YouTube videos. We make a reasonable effort to embed such content in the service's privacy-enhanced mode where one is offered, so that the service does not set cookies or collect information about you until you play or interact with the content. Where content is embedded in standard mode, the service may set cookies and collect information such as your IP address, browser, and device details when the page loads, and may use it for its own purposes, including advertising, under its own privacy policy. You can block these cookies in your browser settings, or view the content on the service's own site instead.
3. Calls and meetings
We use AI notetaking on calls and meetings: Zoom AI Companion on Zoom, and Gemini in Google Meet. These tools record, transcribe, and summarize the conversation. This applies to calls with prospects, clients, vendors, and anyone else we meet with.
Zoom and Google Meet show participants an on-screen notice while notetaking is on. Anyone may ask us to turn it off, and we will for that call or meeting.
We use the recordings, transcripts, and notes to maintain an accurate record of what was discussed and agreed, to follow up, and to document support work. The recordings, transcripts, and notes are stored in our Zoom and Google accounts. Zoom and Google process them on our behalf.
4. Prospects, client contacts, and newsletter readers
What we collect. When you contact us, request a consultation, become a client contact, or request access to our trust center, we collect your name, email address, phone number, company, job title, and the content of your messages. For client billing contacts, we also collect billing details.
How we use it.
- To answer your inquiry and prepare proposals.
- To provide our services to your organization, including support tickets and service communications.
- To bill your organization and collect payment.
- To review your request for access to our trust center, which we operate on Vanta and which may require you to accept a nondisclosure agreement.
- To send our newsletter.
Where it is stored. Contact records, tickets, and support history are stored in ConnectWise. Billing records are stored in Intuit. Client payments are processed by Alternative Payments.
Newsletters. We send our newsletter through Mailchimp. Every newsletter includes an unsubscribe link. You can also ask us to remove you by writing to support@feedwire.com. If you unsubscribe, we continue to send the service messages your organization needs from us, such as ticket updates, maintenance notices, and security alerts. Those are not marketing.
5. Client staff whose data we process for our clients
This section is for the employees, contractors, and other people whose data is stored in the systems of the organizations we serve.
Our role. We work as our clients' IT department. When we process your data in that work, we do so as a service provider to your organization, which decides why and how your data is processed. Under the California Consumer Privacy Act, your organization is the business and we are its service provider. Under European and UK data protection law, your organization is the controller and we are its processor. Our Data Processing Agreement sets the terms, and the list of vendors we use for that work is available to our clients on request.
What we can reach. To do the job, we administer the systems your organization uses: user accounts and sign-in records, email and files, computers and phones, networks, backups, and security tools. That means we can reach the data stored in those systems. We do not look through it except as a task requires.
How we use it. Only to provide the services your organization has engaged us for, under our Terms and Conditions and the Data Processing Agreement. We do not use your organization's data for our own purposes. The AI providers we use for support work, Anthropic, Google, and OpenAI, operate under business terms with training on our data turned off.
How we control our own access.
- Feedwire's credentials to client systems are stored in Feedwire's password vault.
- Every Feedwire account is a named account with multifactor authentication. The vault requires multifactor authentication, and administrative elevation requires it again.
- Feedwire activity, such as delegated access and credential use, is logged under each person's name. Your organization can request reports from those logs.
- Your organization's own passwords are stored in your organization's vault.
- Credentials your organization uses for its own clients, such as logins to a client's social media or advertising accounts, are outside our reach. Feedwire never sees or changes them.
Security monitoring. Security operations centers operated by CrowdStrike and Huntress monitor endpoints and identities around the clock on our clients' behalf. They see security data from devices and sign-ins, which can include names, account details, and activity records.
Requests about your data. If you want to access, correct, or delete data that your organization controls, contact your organization. If you send the request to us, we pass it to your organization and help it respond, as the Data Processing Agreement describes.
Retention. We retain and delete client data as our Terms and Conditions and the Data Processing Agreement require.
6. Job applicants
What we collect. If you apply to work at Feedwire, we collect what you give us: your name, contact details, resume, work history, references, and anything else you choose to share. We also record our interview notes.
Where it comes from and where it is stored. Applications reach us through Breezy, our applicant tracking system, or through Robert Half, a recruiting firm we work with. Robert Half also has its own relationship with you and its own privacy policy.
How we use it. To consider your application, schedule interviews, communicate with you, and meet legal requirements that apply to hiring. People at Feedwire review every application and make every hiring decision. We do not use AI to screen, score, or rank applicants.
7. Text messages
Our technicians sometimes exchange text messages with client staff about support requests. Most often, they reply to someone who texted them first. We use texts for support only, never for marketing. We do not share mobile numbers, or anyone's agreement to receive texts, with third parties for their marketing. If you would rather not receive texts from us, tell the technician or write to support@feedwire.com, and we will stop.
8. Who receives personal information
Service providers. We use vendors to operate our business and deliver our services. They process personal information only on our behalf and under written terms that require confidentiality and security. For our own business records, they include Squarespace and Cloudflare (website), JotForm (help form), Google, Microsoft, Zoom, and Slack (email, collaboration, and meetings), ConnectWise (tickets and contact records), Mailchimp (newsletters), Vanta (trust center), Intuit (bookkeeping), Alternative Payments (client payments), and Breezy and Robert Half (recruiting). The list of vendors we use to process client data is available to our clients on request.
Your organization. If you are a member of a client's staff, your organization receives information about the support we provide to you, such as ticket history and activity reports.
Legal requirements. We disclose personal information when the law requires it, such as in response to a subpoena or court order. When a request concerns data we process for a client, we follow our Terms and Conditions: we notify the client promptly unless the law forbids it, so that it can seek a protective order, and we disclose only what the law requires. For our own records, we may also disclose information to protect the rights, property, or safety of Feedwire, our clients, or others.
Business transfers. If Feedwire is involved in a merger, acquisition, or sale of assets, personal information may transfer as part of that transaction. Client data remains subject to our Terms and Conditions and the Data Processing Agreement.
9. Security
We follow the CIS Critical Security Controls, and Feedwire operates at Implementation Group 2. Our safeguards include:
- Named accounts with multifactor authentication on every Feedwire account and on every vendor console we use.
- Access limited to people who need it, reviewed every year, and removed when someone leaves.
- Activity logged under each person's name.
- Endpoint detection and response on every Feedwire computer, monitored around the clock by a security operations center.
- Encryption of data in transit and at rest.
- Backups of Feedwire's own data with an encrypted offsite backup service, stored separately from our production systems, and retained for at least seven years.
- Confidentiality obligations for every employee and contractor, at least as strict as those in our Terms and Conditions.
No system is perfectly secure, and we cannot guarantee that personal information will never be lost or accessed without authorization. If we discover a breach affecting data we process for a client, we notify the client as the Data Processing Agreement requires, and the client decides whether and how to notify the people affected. If a breach affects our own records, we notify the people affected as the law requires.
10. How long we retain personal information
We retain personal information only as long as we need it for the purposes in this policy, or longer if the law requires it.
- Client and prospect contact records, tickets, and correspondence: for as long as we work with the organization, and then for as long as we need them to resolve questions or disputes and to meet legal requirements.
- Meeting recordings, transcripts, and notes: with the client or prospect record they relate to, on the same schedule.
- Billing and tax records: for the period tax and accounting law requires.
- Website analytics: in the form Squarespace and Cloudflare provide, which is mainly counts and summaries.
- Newsletter subscriptions: until you unsubscribe. We then retain your address on a suppression list so that we do not email you again.
- Job applications: for as long as we need them to make a hiring decision, and then for the period employment law requires.
- Client data: as our Terms and Conditions and the Data Processing Agreement require.
Backups. Our backups are retained for at least seven years. When we delete information from our active systems, copies remain in backups until those backups expire. We do not use those copies. If we ever restore a backup, we delete that information again.
11. Your choices and requests
For the personal information Feedwire controls, such as contact records, newsletter subscriptions, meeting notes, and job applications, you may ask us to:
- tell you what personal information we have about you and give you a copy;
- correct it if it is wrong; or
- delete it, unless we must retain it by law or for a dispute.
We offer these choices to everyone, wherever you live, and we do not charge for them. To make a request, contact us as described in section 16. We may ask you to confirm your identity before we act. We respond within 45 days. We will not treat you differently for making a request.
For data we process for a client, see section 5.
12. California notices
Shine the Light. California Civil Code section 1798.83 lets California residents ask whether a business has disclosed their personal information to third parties for the third parties' direct marketing. Feedwire does not make such disclosures.
Online privacy. This policy is intended to meet the California Online Privacy Protection Act. Its effective date appears at the top. Section 2 explains how our site responds to Do Not Track signals and whether third parties track visitors across sites. Section 15 explains how we announce changes.
13. Children
Our services are for organizations. We do not knowingly collect personal information from children under 16. If you believe we have, contact us and we will delete it.
14. People in the European Union and the United Kingdom
Feedwire is based in the United States. We and our vendors store and process personal information mainly in the United States; our sub-processor list, available to clients on request, shows where each vendor stores data. Some of our clients have staff and offices in the United Kingdom and Europe. If your organization is one of them, your organization is the controller of your data and we are its processor. Please direct questions and requests about that data to your organization. Our Data Processing Agreement includes the European Union's Standard Contractual Clauses and the United Kingdom's International Data Transfer Addendum, which protect data transferred to us. If you have a question about Feedwire's own records about you, contact us as described in section 16.
15. Changes to this policy
When we change this policy, we post the new version on this page with a new version and effective date. When a change is material, we also note it on our website and on clients' next invoices before the change takes effect.
